Terms & Conditions
General
Level Locations acts as an intermediary between the Property Owner and the Production Company for the booking and coordination of filming, stills, editorial, commercial, television, and related productions.
By confirming a booking through Level Locations, the Production Company agrees to comply with these Terms & Conditions, as well as any additional location-specific rules communicated prior to the shoot.
Properties may occasionally undergo updates, maintenance, landscaping, renovations, furnishing replacements, or styling changes. Unless such changes materially alter the overall character or functionality of the property, updated photography is not guaranteed immediately.
Level Locations and the Property Owner shall not be held liable for cancellation, interruption, postponement, or inability to fulfil a booking arising from circumstances beyond reasonable control, including but not limited to extreme weather, utility failures, civil unrest, natural disaster, municipal restrictions, government regulations, or other force majeure events.
Enquiries, Recces & Options
All enquiries, recces, technical visits, and bookings must be arranged directly through Level Locations.
Under no circumstances may a Property Owner be contacted directly by production, agency representatives, crew members, or suppliers unless expressly authorised by Level Locations.
Production is responsible for attending scheduled recces on time. Should a recce be delayed, cancelled, or rescheduled, reasonable notice must be given to Level Locations.
Options are allocated on a first-come, first-served basis. First options always take priority.
Productions are expected to confirm or release options promptly. If a shoot is scheduled within 24 hours, confirmation may be required within two hours of request.
Unless otherwise agreed in writing, all options automatically lapse at 19h00 on the evening prior to the proposed shoot date.
Booking Confirmation & Payment
A booking is only considered confirmed once written confirmation has been issued by Level Locations.
Unless otherwise agreed in writing, all location fees are payable prior to commencement of the booking.
Production must disclose all relevant production information before confirmation, including:
- crew size,
- cast size,
- technical requirements,
- catering requirements,
- parking requirements,
- generators,
- animals,
- stunts,
- special effects,
- drones,
- smoke effects,
- set builds,
- nudity,
- cooking,
- furniture movement,
- additional photographers,
- behind-the-scenes filming,
- or any other non-standard production activities.
Failure to disclose relevant production requirements may result in additional charges, restrictions, refusal of certain activities, or cancellation of the booking.
The Property Owner reserves the right to decline or restrict any activity, equipment, or production requirement not disclosed prior to confirmation of the booking.
Standard Shoot Hours
Stills Shoots
A standard stills shoot consists of:
- Full Day: 10 hours
- Half Day: 5 hours
Standard stills shoot hours must fall between 07h00 and 21h00 unless otherwise approved.
A standard stills shoot generally consists of approximately 15–25 people, including cast and crew.
A standard stills booking typically accommodates:
- private vehicles,
- two panel vans,
- and one small truck.
Additional crew, vehicles, equipment, technical requirements, or usage beyond the agreed booking scope may incur additional fees.
Overtime is charged at 10% of the agreed full-day rate per hour or part thereof beyond the agreed booking period.
Film & Television Shoots
A standard film or television shoot consists of:
- Full Day: 14 hours
- Half Day: 7 hours
Hours are calculated from first crew arrival to final crew departure.
Standard film shoot hours must fall between 07h00 and 21h00 unless otherwise approved by the Property Owner and Level Locations.
A standard film shoot generally consists of approximately 50–70 people on-site, including crew, cast, catering staff, drivers, and suppliers.
Prep and wrap days are charged separately and are subject to prior agreement.
Overtime is charged at 10% of the agreed full-day rate per hour. Shoots exceeding 16 consecutive hours may be charged at 20% of the agreed full-day rate per hour thereafter.
Production is required to provide reasonable notice should overtime be anticipated.
Should the production materially exceed the agreed crew size, vehicle count, technical requirements, or disclosed scope of use, Level Locations reserves the right to charge additional fees relative to the impact on the property.
Production Conduct & Location Rules
Production is responsible for ensuring that all cast, crew, suppliers, and contractors conduct themselves professionally and respectfully at all times.
Any pets or animals residing at the property remain the responsibility of the Property Owner unless otherwise agreed in writing. Where production activities may impact the safety, wellbeing, or management of animals on-site, arrangements should be made for animals to be safely contained or removed from active filming areas for the duration of the shoot.
Level Locations and the Production Company accept no responsibility for the loss, injury, illness, escape, or distress of any animals remaining on-site during production activities.
The following are strictly prohibited unless expressly approved in writing:
- smoking inside buildings,
- excessive noise,
- alcohol consumption,
- unapproved furniture movement,
- use of private facilities,
- or any activity that may damage the property.
Furniture, décor, artworks, appliances, styling items, and personal belongings may not be moved without prior approval.
All rubbish generated during the production must be removed from the property upon wrap unless otherwise agreed.
Locations must be left clean and returned to their original condition immediately after the shoot.
Where additional cleaning, repairs, refuse removal, or reinstatement is required, associated costs will be charged to the Production Company.
Production is encouraged to photograph all impacted areas prior to commencement of the shoot to assist with reinstatement and damage verification.
Level Locations reserves the right to stop any activity deemed unsafe, undisclosed, damaging, illegal, or in breach of agreed production terms.
Technical Requirements & Power
All technical requirements must be disclosed prior to confirmation.
Production is responsible for confirming power availability during the recce process where high electrical usage is anticipated.
Generators must be positioned responsibly with consideration given to neighbouring properties and surrounding noise levels.
Additional cabling, protection coverings, flooring protection, and technical safety measures remain the responsibility of production.
Where location electricity usage is excessive, additional electricity charges may apply.
Neighbours, Permits & Municipal Compliance
Production is responsible for ensuring that all required permits, permissions, parking permissions, and municipal approvals are obtained where necessary.
Where productions may impact neighbouring properties through parking, noise, generators, lighting, traffic, or crew activity, production may be required to conduct neighbour notification prior to the shoot.
Neighbour notification letters should include:
- production contact details,
- call and wrap times,
- parking arrangements,
- generator placement,
- traffic impact,
- and any anticipated disturbances.
Certain areas may require additional municipal or land-use approvals. Production is responsible for ensuring compliance with all local regulations.
Weather Holds & Postponements
Weather bookings may be accommodated depending on the specific property and owner approval.
Should a shoot be postponed due to weather, production is expected to make reasonable efforts to reschedule the booking at the same location within 21 days where possible.
If production arrives on-site but elects not to proceed due to weather conditions, the full booking fee remains payable.
Where prep has already commenced prior to weather cancellation, prep fees remain payable and cancellation fees may still apply to the shoot day.
Level Locations must be informed immediately should production elect not to proceed with the booking. In the absence of communication, it will be assumed that the production is proceeding as scheduled.
Cancellations
Should a confirmed booking be cancelled within seven days of the shoot date, a cancellation fee of 50% of the total booking value may apply.
Should a booking be cancelled within 24 hours of commencement, a cancellation fee of up to 100% may apply, including applicable prep and wrap days.
Multi-day bookings cancelled within 24 hours may be subject to:
- 100% of prep and first shoot day fees,
- plus 50% of remaining booked days.
Failure to arrive on-site without communication may result in the full booking amount becoming immediately payable.
Damages
The Production Company accepts full responsibility for any damage caused to the property, furnishings, fixtures, landscaping, neighbouring property, or surrounding areas during the booking period.
All damages must be reported immediately to Level Locations.
Production remains responsible for all repair, replacement, cleaning, specialist restoration, and associated costs arising from the booking.
Where damages are not resolved within a reasonable period, Level Locations reserves the right to charge an administrative facilitation fee.
Insurance
Production is required to hold valid public liability insurance covering:
- personal injury,
- third-party damage,
- property damage,
- and production-related risks.
Proof of insurance may be requested prior to confirmation of any booking.
The Production Company remains fully responsible for any insurance excesses, claims, losses, or liabilities arising during the booking period.
Indemnity & Liability
By confirming a booking through Level Locations, the Production Company acknowledges that all cast, crew, suppliers, contractors, guests, and representatives enter and use the property entirely at their own risk.
The Production Company indemnifies and holds harmless:
- the Property Owner,
- Level Locations,
- and their respective employees, representatives, affiliates, and agents,
against any and all claims, damages, losses, liabilities, costs, theft, injury, illness, death, or consequential damages arising directly or indirectly from the production or use of the property.
This indemnity applies whether arising through negligence, accident, oversight, equipment failure, third-party conduct, or otherwise, to the fullest extent permitted by law.
Submission of a booking confirmation, purchase order, location agreement, or written acceptance constitutes full acceptance of these Terms & Conditions.
